The Company
OH-Visas is a specialist agency that helps touring music artists and their teams navigate the  complex world of international visa applications. Whether it’s a solo act heading to the U.S.  or a full band touring across multiple continents, OH-Visas ensures the right documents are  filed, deadlines are met, and everyone gets where they need to be. The team works closely with tour managers, booking agents, and artists to coordinate  each step of the visa process — often juggling dozens of applications simultaneously. 

Co-founders Ben Young and Steve Down built the company on their specialist knowledge in visa services and the music industry. Together, they shaped the business to serve a niche, delivering tailored support to artists and touring professionals. They’ve been supported by a team of talented employees and a dedicated operations manager, who’ve contributed precision, speed, and their dedication to the work.

As the business grew, they recognised the need for internal systems that could scale alongside them, without compromising the personal, high-touch service their clients depend on.
The Challenge
As OH-Visas expanded, so did the volume and complexity of its back-office processing work.  While the client-facing side of the business, including data capture and secure applicant  information, remained well-handled via a separate, secure process, their internal systems  for managing day-to-day operations needed a more scalable foundation. 

- Limited control over task visibility: All internal users accessed the same interface,  regardless of role, which created distractions and inefficiencies. 

- Inconsistent data: With no defined structure, information was stored differently  across records, making it hard to maintain accuracy at scale. 

- Manual workflows: Each visa type required a unique set of tasks — but everything  had to be created from scratch. 

- Duplicate data entry: Critical information had to be copied across systems, increasing the risk of errors and wasting valuable time.

The Solution
Partnering with Noloco Certified Expert, Michael Unrath, OH-Visas built a custom internal tool powered by their existing Airtable base — but with far greater clarity, control, and automation.

- Permissions-based access: Team members now only see the jobs and tasks relevant to their role — nothing more, nothing less.

- Automated workflows: Creating a new visa job automatically generates the correct task set for that visa type.

- Context-aware interface: Conditional visibility ensures users only see the fields and options that matter based on context.

- Custom layouts by role: Admins and standard users each get a tailored interface designed for their specific responsibilities.
